FAQ

How do I report a defective pull-tab deal on a separate Schedule B-2?

Add initials (for example “DEF”) to the defective deal’s record, then use the Initials option when printing the Schedule-B2 to print just those deals as a paper copy for the Department of Revenue, alongside your regular monthly e-file. Note: the program has no defective-game marking of its own, so you may need to write “defective” on the printed copy by hand.

I fixed my financial records, but the G1 still shows the old numbers. Why?

The G1 is a saved snapshot — it does not rebuild itself when you change financial records. Display Form G1 again and save it to force a rebuild with your corrected numbers. The same applies to linked-bingo and e-tabs figures: if they are correct in your financial records but missing from the G1, re-display and save the G1.

I reused a check number and the program pulled up old invoices. What’s happening?

Check numbers are permanently tied to the invoices they paid through the invoice’s Paid-By field, so reusing a number brings the old tied invoices back with it. Always use a new check number instead.

My LG100F won’t balance to zero. Where do I start?

Work in this order. First, go to Financial and update the account balances. Second, reconcile and clear outstanding items with your bank statement in hand — your program checkbook balance must equal LG100F line 4, and an unreconciled check register is the number-one cause of LG100F differences. Third, run the two checks under the Tests menu: Test Check Amounts vs Invoice Totals, and Test Invoices for Valid Check Numbers. Fourth, re-display Form G1, save it, then re-display the LG100F and save — repeat the G1 to LG100F cycle until the difference is 0.00. Remember the LG100F always uses the last saved G1.

I entered a check under the wrong expense category. How do I fix it?

Do not delete it — reverse it. Enter the same Use/Line and site with the current date and a negative amount. Use the same technique for refunds and for lost or un-cashed checks: never delete a lost check, reverse it.

Which products do I need to enter invoices for?

Only products with serial numbers: pull-tabs, tipboards, paddle tickets, and bingo paper. Never enter invoices for merchandise prizes, equipment rental, or provider fees. E-pulltab provider fees are paid by check with Use/Line I, and electronic linked-bingo provider fees with Use/Line J — these are not invoice records.

How do I report e-pulltab activity for the month?

Go to Activity, then Report E-Pulltab Activity, and enter the total gross and actual prizes paid for the month — this covers all e-pulltab deposits, including ones after month-end. Then enter each e-pulltab deposit separately in your financial records with Use/Line 00. Tip: prefix e-related pay-to descriptions with “E-” so they are easy to spot.

How do I report electronic linked bingo?

In Activity, go to Bingo Activity, then Enter Session Results, choose the Bingo-Type matching your system, and enter the figures from your provider’s worksheet. The program calculates the linked liability and the provider fee, creating a J entry for the provider fee and a 99 entry for the linked-prize amount. When you pay the provider, split the invoice into those two entries — never enter it as one net amount. The linked-prize liability belongs on LG100F line 13.

How do I e-file my monthly reports?

For the Gambling Control Board: under Tax Return choose Write E-Files, which creates one CSV file covering the LG100A, LG100C, and LG100F. Email it to GCBreports@gcb.state.mn.us with the subject line “<license>-<month>-<year>” (for example 08686-07-2018); for an amended filing add “-Amended” to the name. For the Department of Revenue: upload the MDOR-G1B2s file from your For-DOR folder on Minnesota Revenue’s e-services site — this replaced mailing the G1 and B2s.

What is the right order for the month-end close?

In short: enter all invoices, credit memos, and deal activity; enter all checks and deposits (or import them); then under Financial update the account balances; then reconcile and clear outstanding items against the bank statement — the most important step for a zero difference on the LG100F; display and save the LG100A, then Form G1, then the LG100F, repeating the G1 to LG100F cycle until the difference is 0.00; complete the LG100C with a purpose code and approval date for every item; write both e-files; and finish by writing two backup copies in two different places, one you can carry away.

How do I share my data between multiple computers?

Use a free Dropbox Basic account this way: the person in charge copies or backs up the program files to Dropbox and shares the account login with authorized users. Everyone installs Dropbox, then runs a Restore from their Dropbox folder. Dropbox holds only backup copies — never anyone’s live working files — and any change syncs to every computer.

How should I back up my data?

Keep two backup copies in two different places, one you can carry away from the office, and back up at month-end at minimum. The routine is: back up, experiment freely, then Restore if needed — restoring undoes your experiments. Only email backup files to Gleason’s after talking on the phone first.

What are the most common Use/Lines?

A pays distributor invoices for gambling products. 00 deposits deal or bingo profit, moving money from the site account to checking. TX pays gambling taxes and fees to Minnesota Revenue. LC replenishes a start-bank after a deal or bingo loss — no check means no loss, so record zero. I is the e-pulltab provider fee and J the electronic linked-bingo provider fee. 1A, 1B, and 1C are bingo gross, prizes, and net. 99 marks checks that do not affect the tax return, such as future prize money. SB is only for permanent start-bank changes — never for a temporary loan.

Can I install the program on more than one computer?

Yes — it installs on multiple computers, and your accountant can use it free for the annual audit.
